Cancellation Policy

Agreement: By proceeding with payment, I confirm that I have read, understood, and agree to the Payment Terms, Refund Policy, Trip Minimum Participant Ratio, and Weather Policy outlined below. Waiver: Every person must sign our waiver once a year in order to participate in any coaching, guided ride, expedition, tour, or lessons offered by "The Mind Mountain". This is mandatory and will remain valid for the calendar year during which the service is provided. A new waiver must be signed each year, even for returning clients. Payment Terms: ● A 25% non-refundable deposit is required to secure a spot (or full payment if you are booking within 90 days of departure). ● The remaining balance is due 90 days before the Expedition start date. ● Payment reminders will be emailed automatically. ● Failure to pay the balance on time may result in forfeiture of the booking. ● All pricing is in CAD + 5% GST. Refund Policy & Cancellation Charge: ● More than 90 days before Expedition: Deposit Only ● Between 90–60 days: 50% of tour cost . ● Between 60-30 Days: 75% of tour cost ● Between 30 - 1 Days: 100% of tour cost ● Participants must purchase travel insurance with trip cancellation coverage. Trip Minimum Participant Ratio: ● A minimum of 6 participants is required to run the expedition. ● If this is not met, we may reschedule or cancel the trip, providing participants with a credit or refund. ● Pay a ‘low numbers’ fee in the event that all registered guests agree on this option. No further compensation is owed to participants. Weather Policy: ● Rescheduling may occur due to unsafe weather. No refund or credit if rescheduling isn’t possible or if you cannot attend the new dates. ● BC’s rainforest conditions mean significant rain is normal. Riders are expected to dress and ride appropriately.
